Med spa client win-back campaigns
A win-back campaign is only as good as the segmentation behind it. Blasting every dormant contact the same offer trains people to wait for discounts and annoys the patients who simply moved to a different treatment.
Define what lapsed means, per pathway
A monthly facial member is lapsed after two missed cycles. Someone on a six-month interval is not lapsed at four months. Set the window per treatment pathway and let the record decide who qualifies.
Segment by likely reason
Separate patients who completed a course, patients who cancelled a membership, patients who had one visit and never returned, and patients whose provider left the clinic. Each needs different contact — the last group often just needs to know who is there now.
Lead with a conversation, not a discount
A short personal message referencing the last visit and offering a review appointment outperforms a blanket promotion, and it does not devalue your pricing.
Where an incentive is used, keep it operational — a complimentary review or a package credit — rather than framing it around results.
Work the highest-value segment by phone
Lapsed members and high-lifetime-value patients justify a call from a named person. Log the call outcome against the record so the queue reflects reality.
Measure reactivation, not engagement
The metric is booked appointments from the lapsed queue and revenue retained twelve months later. Open rates tell you nothing about whether the chair filled.

Common questions
- How far back should a win-back list reach?
- Usually the last eighteen to twenty-four months. Beyond that, contact details and consent are often stale and the response rate rarely justifies it.
- Can we contact patients who opted out of marketing?
- No. An opt-out applies to marketing contact regardless of how the list was built. Operational messages about an existing booking are a separate matter.
- Is discounting the best reactivation lever?
- Rarely. A review appointment with a named provider usually converts better and protects your pricing.
