Buyer's guide

How to choose the best med spa software

"Best" depends on what your clinic actually does. A single-injector studio charting units and lot numbers has different needs from a three-location group running laser packages, memberships and payroll. This guide sets out the criteria that separate medical aesthetic software from general salon booking tools, and how Med Spa Management handles each one.

Criterion 01

Treatment-accurate clinical records

Injectables, energy devices and skin treatments each need a different record shape. Generic appointment notes force staff into free text, which is slow to write and impossible to audit later.

Ask every vendor

  • Can the record capture units, product, lot number and expiry per injection site?
  • Can it store device, handpiece, fluence and pass count for laser treatments?
  • Can I retrieve every treatment linked to a single product lot in one query?

Med Spa Management

Med Spa Management charts by treatment type: unit-by-site maps for neurotoxins, volume and product per region for fillers, device settings for energy treatments, and protocol steps for facials and peels — all on one patient timeline with lot traceability.

Criterion 02

Consent, intake and photo documentation

Consent and before/after imagery are part of the clinical record, not marketing extras. If they live in a separate app, they will be missing when you need them.

Ask every vendor

  • Are consent forms versioned, so I can show which wording a patient signed and when?
  • Do intake answers flow into the chart, or are they PDFs someone has to read?
  • Are photos attached to the treatment record with consistent capture settings?

Med Spa Management

Digital intake and versioned consent attach to the visit record, and before/after photos are captured against the treatment they belong to.

Criterion 03

Security and privacy posture

Aesthetic clinics hold health information. Marketing pages saying "HIPAA compliant" mean little on their own — compliance is a property of how you operate the software, not of the software alone.

Ask every vendor

  • Will the vendor sign a Business Associate Agreement?
  • Is data encrypted in transit and at rest, and where is it hosted?
  • Are there per-user accounts, role-based access and an audit trail of record access?

Med Spa Management

Med Spa Management uses per-user authenticated accounts with row-level access control, so records are only readable by the clinic they belong to. Ask us directly about agreements and hosting for your jurisdiction before you sign — and ask every other vendor the same.

Criterion 04

Pricing model, not just price

Two products with the same headline number cost very different amounts once you add providers, locations, SMS and payment fees.

Ask every vendor

  • Is the plan priced per provider, per location or per record?
  • What happens to the bill when I add a part-time injector or a second room?
  • Which features sit behind a higher tier — reporting, memberships, forms, API?

Med Spa Management

Med Spa Management is priced per location, not per provider or per patient record, so hiring or adding a part-time injector does not change your bill.

Criterion 05

Retention mechanics

Aesthetic revenue is repeat revenue. Software that only books appointments leaves the rebooking work to whoever is on the front desk that day.

Ask every vendor

  • Can rebooking intervals be set per treatment rather than per client?
  • Is there a lapse queue showing who is overdue against their own interval?
  • Do memberships and packages draw down automatically at checkout?

Med Spa Management

Treatment-level intervals drive rebooking prompts, lapse lists, automated follow-up sequences and membership draw-down.

Criterion 06

Migration and exit

The cost of the wrong choice is mostly the cost of leaving it.

Ask every vendor

  • Can I export patients, appointments, notes, photos and financials in a usable format?
  • Who does the import from my current system, and what is included?
  • Is there a contract minimum term?

Med Spa Management

Your records are yours: exports cover patients, appointment history, treatment records and financial summaries.

Running the shortlist

Score on your actual treatment menu

Take your five highest-volume services and chart one real visit for each in a trial account. Anything that needs a free-text workaround at trial stage will need it every day.

Price the second year, not the first

Add the providers, locations and message volume you expect in twelve months, plus payment processing, and compare the totals rather than the entry tiers.

Test the front desk path

Book, reschedule, take a deposit, apply a membership and rebook at checkout. That loop runs hundreds of times a month; a few extra clicks compounds fast.

Common questions

What is the difference between med spa software and salon software?
Salon software is built around services, staff and retail. Medical aesthetic clinics also need clinical documentation: versioned consent, health intake, product lot and expiry tracking, device settings, photo records tied to treatments and per-treatment rebooking intervals. Many clinics start on salon tools and move once the documentation gap becomes a problem.
Is there affordable med spa software for a small practice?
Yes, but compare on pricing model rather than headline price. Per-provider pricing is often cheapest for a solo injector and most expensive as soon as you add part-time staff. Med Spa Management charges per location, which keeps a growing team on the same bill.
What should I check about HIPAA?
Ask whether the vendor will sign a Business Associate Agreement, how data is encrypted and hosted, whether every staff member has an individual account, and whether record access is logged. Compliance also depends on your own policies, training and access controls — no software makes a clinic compliant by itself.
How long should a med spa software migration take?
Plan for a few weeks of overlap: export from the current system, import patients and history, rebuild the service menu and forms, then run both in parallel for a short period before switching bookings over.

Score us on your own list

Bring your five highest-volume treatments and chart them end to end. That is the only comparison that predicts how the software will feel on a full clinic day.
