For practice owners
Botox booking software for practices that count every unit
Software for teams delivering neurotoxin treatments under appropriately qualified providers. Med Spa Management handles the operational side — scheduling, consent, charting and inventory — while clinical judgement stays with your practitioners.
- Appointment types with treatment-specific durations and provider requirements
- Unit-level vial tracking with reconstitution windows and open-vial balances
- Injection-site charting on a facial map, versioned per visit
- Digital consent and pre/post-care documents attached to the record
- Follow-up and review-check scheduling at intervals your protocols define
How the workflow runs
- Step 1
Enquiry
Patient books a consultation online; intake and medical history are sent automatically before arrival.
- Step 2
Assessment
A qualified provider reviews history, discusses options and documents the decision — including when treatment is not appropriate.
- Step 3
Treatment
Sites and units are charted on the face map, deducted from the open vial and locked to the visit record.
- Step 4
Follow-up
Review contact is scheduled per your protocol, with aftercare information sent from the record.
What the software handles
Consultation-first booking
New patients can be routed to a consultation appointment type before any treatment slot becomes bookable, so suitability is assessed by a qualified provider rather than assumed at the booking page. Outcomes and eligibility vary by individual and are never promised by the software.
Unit and vial reconciliation
Each vial is opened once in the system, injections deduct from the open vial, and remaining units are visible on the schedule. Month-end reconciliation compares purchased units against charted units and flags the variance.
Provider credentials and supervision
Store licences, expiry dates and standing protocols against providers and treatment types. Charts capture who performed the treatment and who supervised, with the protocol version in force at the time.
Photography and records
Standardised capture prompts keep angles and lighting consistent across visits. Images are stored on the clinical record with access limited to authorised staff.
Frequently asked questions
- Does the software decide who is suitable for treatment?
- No. Suitability varies by person and must be assessed by an appropriately qualified professional. The platform documents the assessment and enforces your own booking rules — it makes no clinical determination.
- Can we track units by vial and by provider?
- Yes. Every charted injection deducts from a specific open vial and is attributed to the treating provider, so both inventory and per-provider usage are reportable.
- Do you support consent and pre-care documents?
- Consent forms and pre/post-care information are configured per treatment type and sent automatically on booking, then stored against the visit.
- Can patients book treatments without a consultation?
- That is your choice. You can require a consultation for first-time patients and allow direct booking only for existing patients within a review window you define.
