How to manage med spa client recalls

Recall fails in most clinics for a structural reason: the reminder is built from the calendar rather than from the treatment, so everyone gets the same message at the same cadence regardless of what they had done.

Short answer

Set a follow-up interval on each treatment rather than on each client, offer the next appointment at checkout while the client is still in the clinic, run an overdue list for people just past their window and a separate lapsed list for long-absent clients, and measure the system on rebook rate and returned clients rather than email opens.

Attach the interval to the treatment

Each service has its own maintenance rhythm. Storing the interval on the treatment means the recall date is set automatically the moment the visit is charted.

A client on multiple services then carries multiple correct windows instead of one averaged guess.

Rebook at checkout first

The appointment booked before the client leaves converts far better than any message sent later. Recall lists should be the backstop, not the primary mechanism.

Make the recommended next window visible to the front desk at checkout so the offer is specific.

Overdue and lapsed need different messages

Someone two weeks late needs a short, practical nudge with times available. Someone eight months absent needs a re-introduction, not a reminder.

Sending the same message to both is the fastest way to train clients to ignore you.

Measure what recall is for

Track rebook rate by treatment and provider, and how many overdue clients actually returned within a defined window.

Those two numbers tell you whether to change the message, the timing, or the checkout habit.

Checklist to take with you

  • Follow-up interval defined for every service
  • Next window shown at checkout
  • Overdue list reviewed weekly
  • Lapsed list worked as a separate campaign
  • Rebook rate tracked by treatment and provider

Common questions

What is a med spa recall system?
A process that identifies which clients are due or overdue for their next visit based on the treatment they received, and prompts the rebooking or outreach that brings them back.
How far past due should a client be before you contact them?
Most clinics contact shortly after the expected window passes, then treat much longer absences as a separate win-back conversation rather than a reminder.
Is recall the same as marketing?
No. Recall is scheduling for people who already chose you. It should be specific to their treatment history, which is what makes it convert far better than broadcast marketing.
