How to increase med spa rebooking
Rebooking is a process, not a personality trait. The clinics with the best rates have made the next appointment part of the treatment workflow rather than an optional ask at the end.
Attach an interval to every treatment type
When a treatment is charted, the system should already know the recommended review or next-visit window your protocols define, so the desk offers a date instead of asking an open question.
Intervals are a clinical setting, not a sales lever. Set them from your own protocols and let the provider override them per patient.
Pre-book the review at the same time
Booking the review appointment before the patient leaves converts far better than contacting them a fortnight later. It also improves clinical follow-through, because the review actually happens.
Give the front desk the whole picture
Remaining course sessions, membership entitlements, last visit date and the provider's recommended interval should be visible on one screen at checkout. Rebooking fails most often because the desk lacks context, not motivation.
Follow up consultations that did not convert
A consultation that ends without a booking is a warm lead with a documented assessment. A short, factual follow-up — answering questions raised, no pressure and no outcome claims — recovers a meaningful share.
Track consultation-to-treatment conversion by provider, and treat a low rate as a training and information problem rather than a closing problem.
Handle enquiry leads on a clock
Enquiries decay quickly. Route web and phone enquiries into a queue with a response-time target and an owner, and record the outcome against the eventual patient record.

- What rebooking rate should we aim for?
- Set a baseline from your own data for the last quarter, then improve it. Benchmarks from other clinics rarely account for treatment mix.
- Is it appropriate to prompt patients to rebook?
- Offering an appointment within a clinically defined interval is normal practice. Pressuring a patient toward treatment they have not been assessed for is not.
- How do we follow up a consultation without being pushy?
- Answer the questions raised, confirm what was discussed, provide written information and make it easy to book or to decline. Avoid claims about results.
