For clinic owners

How to get more med spa reviews

Reviews follow a good process: ask everyone at a consistent moment, make it a single tap, never incentivise and handle unhappy feedback properly rather than filtering it out.

Ask at a consistent, appropriate moment

For service experiences, shortly after the visit works. For treatment pathways, after the review appointment is more appropriate — asking during a recovery period is both awkward and unrepresentative.

Automate from the record, ask once

Trigger the request off the completed visit, exclude patients asked in the last few months, and honour opt-outs. One request plus at most one reminder is the ceiling.

Never incentivise or filter

Paying for reviews or offering rewards breaches every major platform's terms and consumer-protection rules in many jurisdictions. Selectively soliciting only happy patients ('review gating') is prohibited by several platforms too. Ask everyone, the same way.

Route dissatisfaction into a clinical response

Give patients an obvious internal route to raise a concern. A complaint that reaches a clinician quickly is better for the patient and for the clinic than one that first appears in public.

Log concerns on the record and follow your complaints procedure. Never discuss a specific patient's treatment in a public reply — respond briefly, acknowledge, and move the conversation offline.

Reply to everything, carefully

Short, professional replies to positive and negative reviews alike. Confirm nothing about anyone's treatment or attendance publicly, since even acknowledging that someone is a patient may breach confidentiality.

Checklist to take with you

  • Consistent request timing per pathway
  • Automated single request from the visit record, with a frequency cap
  • No incentives, no gating — everyone asked the same way
  • Internal concern route promoted before the public one
  • Complaints logged on the record and handled per procedure
  • Public replies that never confirm clinical details

Common questions

Can we offer a discount for leaving a review?
No. It breaches major platform policies and consumer-protection rules in many jurisdictions, and it undermines the credibility of the reviews you already have.
Should we ask only satisfied patients?
No. Review gating is prohibited by several platforms and gives you a distorted picture of your own service quality.
How should we reply to a negative review?
Briefly and professionally, without confirming that the person is a patient or discussing any clinical detail, and with an invitation to contact the clinic directly.
