How to fill med spa cancellations
A cancelled slot has a short shelf life. The clinics that fill them have automated the offer and matched it properly — same treatment type, same duration, right provider, right room or device.
Build a waitlist that matches on constraints
A waitlist that ignores duration, provider qualification and device availability produces offers nobody can accept. Match on all of them and offer the slot only to patients it genuinely fits.
Automate the offer within minutes
Send the opening to matched patients with a first-come booking link, capped so you are not overbooking. Speed matters more than reach — the slot is usually gone or wasted within hours.
Keep standby lists per provider
Patients who specifically want one injector will accept short notice for that provider and nobody else. Track that preference explicitly rather than treating the waitlist as one pool.
Use short-notice openings for reviews and members
Overdue review appointments, members with unused entitlements and mid-course patients behind their interval are natural candidates. Filling a gap and closing a clinical loop at once is the best version of this.
Measure fill rate and time-to-fill
Report cancellations, how many were refilled, average time to fill and revenue recovered. If fill rate is low, the problem is usually matching or notification speed, not waitlist size.

Common questions
- Should short-notice slots be discounted?
- Usually not. Discounting trains patients to wait for gaps. Availability and convenience are the offer.
- How many patients should get a slot offer?
- Enough to fill it quickly, capped so the first booking closes the slot for everyone else. Sending an offer that is already gone erodes trust in the waitlist.
- Can a waitlist offer skip normal booking rules?
- No. Consultation requirements, patch tests and minimum intervals still apply — the offer must respect them or it should not be sent.
