The consultation workflow, from enquiry to treatment plan

A consultation is not an appointment type — it is the step that decides whether a treatment can be delivered safely, by whom, and at what price. Running it as a workflow means nothing is decided verbally and lost.

Trigger
New patient requests a consultation, or a treatment requires one before booking
Owner
Front desk, then the consulting provider
Outcome
A signed treatment plan with quoted treatments, ready to book

The workflow, stage by stage

  1. Stage 1

    Qualify the enquiry

The booking page routes first-time injectable requests to a consultation slot instead of a treatment slot. Intake and medical history are sent on confirmation, so the provider reads before they meet.

  2. Stage 2

    Assess and document

The provider records concerns, contraindications, medications, prior treatments and Fitzpatrick type on the patient record. Anything flagged as a contraindication blocks the related treatment from being booked.

  3. Stage 3

    Build the treatment plan

Select treatments from the catalog with areas, expected units or sessions and interval spacing. The plan carries its own pricing, including membership rates and package bundles where they apply.

  4. Stage 4

    Quote, consent and book

The plan is presented as a quote, consent forms for the planned treatments are queued, and the first session can be booked in the same visit with a deposit against the slot.

Rules the platform enforces

  • A treatment can require a valid consultation within a configurable window before it becomes bookable
  • Contraindications recorded at consultation gate the treatments they affect
  • Treatment plans expire, so stale quotes are re-priced rather than honoured indefinitely
  • Unconverted consultations enter the follow-up queue automatically

Frequently asked questions

Can I require a consultation before injectables?
Yes. Any treatment in the catalog can be marked as requiring a prior consultation, which routes first-time requests to a consultation appointment type.
What happens to consultations that do not convert?
They enter the follow-up queue with the treatment plan attached, so the outreach references what was actually discussed.
Is the treatment plan visible to the patient?
The plan can be sent as a quote with the treatments, sessions and pricing that were discussed, so nothing depends on memory.
