How to track lot numbers in a med spa

Lot tracking is judged by one test: if a supplier contacts you about a specific lot, how long does it take to produce the list of affected visits? On paper, the honest answer is usually days.

Short answer

Capture the lot number and expiry date of every product at the point of receipt, require providers to select the lot they used when charting a treatment, keep the lot attached to that client record permanently, and make sure you can run the question in reverse: which clients received a given lot, on which dates, from which provider.

Capture at receipt, not at use

The lot and expiry go into the system when the delivery is unpacked. Once product is in the fridge without a record, the link between box and record is already fragile.

Recording at receipt also means the expiry is available to everyone from day one.

Make lot selection part of charting

Providers select the lot as they record the treatment, so it is one field in a workflow they already complete rather than a separate compliance task.

If lot capture lives outside the chart, it becomes optional in practice, whatever the policy says.

Keep the lot on the client record permanently

The lot belongs to the visit, not to the stock ledger. Deleting or archiving stock records should never remove the traceability on the clinical record.

That is what allows a chart pulled years later to show precisely which product was used.

The valuable capability is searching by lot and getting back the clients, dates and providers involved.

They can be written on paper charts, but reverse lookup — finding every client who received a given lot — becomes a manual file search, which is where paper systems fail.

Wherever stock is viewed and wherever a lot is selected, so expiring product is noticed before it is wasted rather than after.
