Buyer's guide

Med spa software with memberships

Memberships are easy to sell and hard to administer. The failures are almost always operational — credits nobody can find, a card that quietly stopped working, a balance the front desk has to calculate by hand. These are the criteria that decide whether a membership program runs itself.

Criterion 01

Credits that live on the patient record

If a member's remaining balance is not visible when they check in, staff will guess or discount to keep the peace.

Ask every vendor

  • Is the current credit or benefit balance visible on the appointment and at checkout?
  • Can credits be restricted to specific treatments or categories?
  • Do unused credits roll over, expire, or convert — and is that configurable?

Med Spa Management

Membership and package balances sit on the patient timeline and are applied at checkout against the treatments they cover.

Criterion 02

Recurring billing and failed payments

A membership program's real churn number is usually card failures nobody chased, not cancellations.

Ask every vendor

  • What happens automatically when a recurring charge fails?
  • Are retries and expiring-card notices built in?
  • Can a member update their card without calling the clinic?

Med Spa Management

Recurring charges run on schedule with automatic retry and member-facing card updates, and failures surface as a work queue rather than a silent lapse.

Criterion 03

Pauses, upgrades and cancellations

Every real program needs exceptions, and the exception path is where balances get corrupted.

Ask every vendor

  • Can a membership be paused, and what happens to accrued credits during the pause?
  • Can a member move between tiers mid-cycle with proration?

Med Spa Management

Pauses, tier changes and cancellations adjust the balance and the billing schedule together, so the record and the invoice stay consistent.

Criterion 04

Packages alongside memberships

Most clinics run both, and staff should not need to know which mechanism covers a given visit.

Ask every vendor

  • Are pre-paid packages and recurring memberships drawn down in the same checkout flow?
  • Can a package be shared across a family or transferred?

Med Spa Management

Packages and memberships draw down in one checkout step, so the front desk applies whatever the patient holds without switching screens.

Criterion 05

Reporting you can act on

Deferred revenue and liability from unredeemed credits are real numbers your accountant will ask about.

Ask every vendor

  • Can I see outstanding unredeemed credit as a liability?
  • Can I see member retention, redemption rate and revenue per member?

Med Spa Management

Reporting covers active members, redemption rate and outstanding credit balance so the program can be judged on more than sign-ups.

Running the shortlist

Run one member through a full cycle

Sell a membership, redeem part of it, fail a payment on purpose, then pause and cancel. Watch whether the balance stays correct at every step.

Ask the front desk to explain a balance

Have someone who did not configure the program read a member's remaining benefits off the screen. If they cannot, patients will be told the wrong thing.

Check the accounting export

Confirm that recurring revenue, redemptions and outstanding credit come out in a form your bookkeeper accepts.

Common questions

What should a med spa membership include?
Most programs combine a recurring credit toward treatments with a member discount and priority booking. The structure matters less than whether staff can apply it correctly at checkout without a manual calculation.
How are unredeemed membership credits handled?
That depends on your terms and on local consumer and gift-card rules, which vary by jurisdiction. The software should let you express rollover, expiry or conversion rather than assuming one of them.
Do memberships improve retention?
Clinics commonly report higher visit frequency among members, but the effect depends on redemption actually happening. Track redemption rate, not just active member count.
