Buyer's guide
Med spa software for solo injectors
Working alone means you are the injector, the front desk and the compliance officer. Software either absorbs some of that or adds to it. These are the criteria that decide which.
Criterion 01
Charting speed between patients
A solo injector charts in the minutes between appointments, not at the end of a shift with an admin team.
Ask every vendor
- Can a full neurotoxin chart — sites, units, product, lot, expiry — be completed on a tablet in a couple of minutes?
- Can the previous visit's map be duplicated and adjusted rather than re-entered?
Med Spa Management
Unit-by-site maps carry forward from the last visit so a repeat treatment is an adjustment rather than a fresh entry, with lot and expiry captured inline.
Criterion 02
Running reception automatically
Nobody answers the phone while you are injecting. The booking flow has to work unattended.
Ask every vendor
- Can new patients be routed to a consultation while returning patients book directly?
- Can deposits and card-on-file be taken at booking?
- Can patients reschedule themselves from a reminder?
Med Spa Management
Consultation gating, deposits and self-service reschedule links are configured per service, with waitlist backfill when a slot opens.
Criterion 03
Consent and inventory on your own
With no second pair of hands, unsigned consent and untracked stock are the two failures most likely to surface later.
Ask every vendor
- Does the visit refuse to complete without current consent on file?
- Is product deducted from stock as it is charted, with lot traceability?
Med Spa Management
Versioned consent attaches to the visit, and charted units draw down inventory by lot so waste and remaining stock stay accurate without a stock count.
Criterion 04
Pricing designed for one person
Per-provider plans are technically cheap for a solo practice, but they punish the moment you add help.
Ask every vendor
- What happens to the bill when I add a second injector or an aesthetician?
- Is there a seat minimum?
Med Spa Management
Pricing is per location with no per-provider fee, so hiring your first employee does not change the subscription.
Criterion 05
Retention without a marketing hire
Solo practices grow on rebooking and recall, and both need to happen without anyone remembering to run them.
Ask every vendor
- Are rebooking intervals set per treatment and applied at checkout?
- Do lapse and win-back queues build themselves from treatment history?
Med Spa Management
Rebooking intervals are set per treatment, checkout proposes the next visit, and lapse queues build from the treatment record.
Running the shortlist
Chart on the device you actually use
If you chart on a tablet between patients, run the trial on that tablet. Desktop-first products feel very different in the room.
Test the unattended path
Book yourself as a new patient and as a returning one with your phone on silent. Anything that needs a human reply is work you will do at night.
Plan for hire number one
Price both products at two providers and check whether permissions can be scoped so a new staff member sees only what they need.
Common questions
- Do solo injectors need full practice-management software?
- You need clinical records, consent, booking and payments regardless of headcount. What you do not need is multi-location administration, so weight the evaluation toward speed of daily use rather than breadth of configuration.
- Is there med spa software without per-provider fees?
- Yes. Med Spa Management prices per location, so the subscription does not change when providers are added. Ask any other vendor what a part-time injector costs on their plan.
- How should a solo injector handle no-shows?
- Deposits and self-service rescheduling are the two most commonly used controls, because they work without anyone staffing a phone. Whether a deposit is appropriate depends on your policies and local consumer rules.
Score us on your own list
Bring your five highest-volume treatments and chart them end to end. That is the only comparison that predicts how the software will feel on a full clinic day.
